What is an AI appointment setter?

An AI appointment setter is an AI agent that handles the whole conversation between a lead's first message and a booked appointment. It replies, answers what the lead asked, asks the qualifying questions a good rep would ask, works out a time against real availability, and puts the meeting on the calendar.

That is a different product from a scheduling link. A scheduling link waits for a lead who has already decided, already knows what they want, and is willing to pick a slot themselves. Most leads are not that lead. They have a question first, they reply at 9pm, and they go quiet if nobody answers. The setter's job is everything that happens before the slot gets picked, plus the reminder afterwards, which is the part that works against no-shows.

For the longer background on the category, including how AI setters compare to human ones, see the full guide to AI appointment setters.

How Kai sets appointments

Kai works over SMS. A lead comes in from wherever you already generate leads, and FromKai picks it up from there:

  • 01A lead enters through your CRM, your forms, your ad platform, or a webhook you fire yourself.
  • 02FromKai runs its pre-send checks: national and applicable state Do Not Call registries, a known-litigator suppression list, phone validation, and your own suppression list.
  • 03Kai opens the conversation by text, written for that lead and that context rather than pulled from a template field.
  • 04The lead replies, and Kai answers. A question about price, scope, timing, or what happens next gets a real answer, not a menu.
  • 05Kai qualifies inside the thread, asking what it still needs to know rather than making the lead fill anything in.
  • 06Kai checks live calendar availability and offers times that are genuinely open, then books the slot in the conversation.
  • 07Kai hands off to a human when it should. Complex or sensitive threads route to your team with the full transcript attached.
  • 08Everything syncs to your CRM: transcript, disposition, and opt-out status, plus webhooks on the events you choose.

Because leads arrive over a webhook, this fits whatever stack you already run. You are not replacing your CRM and you are not adding a second one.

A setter is not a scheduling link

SITUATION SCHEDULING LINK KAI
Lead has a question before booking Nothing happens until a human replies Kai answers it
Lead replies at 11pm Waits until morning Answered in seconds
Lead is not a fit Books anyway, wastes the slot Qualified in the thread first
Lead goes quiet Sits there Kai follows up
Off-script question Dead end Answered, or escalated with context
Booking Lead does the work Kai checks real availability and books
Record keeping A calendar entry Transcript, disposition, and opt-out synced to CRM

If you have ever assembled this in GoHighLevel, Twilio, or a similar builder, you know where the ceiling is. Firing the first message was never the hard part. The reply that the workflow did not anticipate is the hard part. The same distinction separates a drip sequence from real AI lead follow up.

Why text rather than voice

Outbound voice has a structural problem: people do not answer unknown numbers, and a voice agent that reaches nobody has set nothing. Text does not need the lead to be free at the moment you reach out. They reply between jobs, on a break, or at night, and the thread stays open in the meantime.

It also means the record is written down. Every question, every answer, and every opt-out is text, which is exactly what you want when someone asks months later what was said. On the speed side of this, see why the first five minutes decide the sale.

Who this is for

  • —Home services and trades, where estimates go to whoever responds first.
  • —Legal and professional services, where intake arrives at odd hours.
  • —Clinics and practices, where the front desk is with a patient and the queue stacks up.
  • —Sales teams running outbound, where setting is the bottleneck rather than closing.
  • —Anyone paying for leads. You already bought the click. A lead nobody worked is a click you threw away.

Compliance is a feature, not a footnote

Automated business texting in the US sits under carrier rules and the Telephone Consumer Protection Act. Most vendors in this category say nothing about it. We would rather show you the machinery.

A2P 10DLC registration. Since 2023, carriers have required that application-to-person traffic sent to US numbers from a 10-digit long code be attached to a registered brand and campaign, and Twilio returns error 30034 for messages sent from an unregistered 10DLC number (Twilio, A2P 10DLC documentation and Error 30034 reference). Registration is not optional if you want your texts to have a route. FromKai handles brand and campaign registration as part of setup. See what 10DLC actually is.

Pre-send screening. Before anything sends, FromKai checks the number against the national Do Not Call registry and applicable state registries, against a known-litigator suppression list, and against your own suppression list, and validates that the number is real.

Opt-out handling. Kai captures opt-outs, applies them, and syncs opt-out status to your CRM so the record lives where your team can see it. On what to keep and why, see SMS consent records.

And the honest part. No software makes you compliant. Compliance depends on how you obtained the numbers, what consent you can evidence, what your messages say, and how you run the program day to day. FromKai gives you controls, screening, and records. It does not give you legal cover, and nothing on this page is legal advice. Talk to your own counsel about your program. If your texts are already not arriving, start with why business texts are not delivered.

Questions people actually ask

What is an AI appointment setter?

It is software that handles the conversation between a lead's first message and a booked appointment. It replies to the lead, answers their questions, asks its own qualifying questions, works out a time against real calendar availability, and books the meeting. It is different from a scheduling link, which only works for a lead who has already decided and is willing to pick a slot without talking to anyone.

Does Kai actually book the appointment, or just take a message?

Kai books. It checks live calendar availability, offers times that are genuinely open, and books the slot inside the text conversation. It also writes the transcript, the disposition, and the opt-out status back to your CRM, and fires a webhook if you want to trigger something downstream.

Does the setter call people?

No. FromKai is a texting platform and does not handle voice at all. Leads are worked over SMS. Your CRM, forms, ad platform, or your own webhook tells FromKai a lead exists, and Kai takes the conversation from there by text.

What happens when a lead asks something the setter cannot handle?

Kai hands the thread off to a human with the full transcript attached, so whoever picks it up can see everything that was already said. You choose which situations route to a person rather than being answered by Kai.

Does it work after hours and on weekends?

Yes. Kai runs around the clock, so a lead who comes in at night, over a weekend, or on a holiday gets an immediate text and can be carried through to a booking without anyone on your team being awake.

Do I need 10DLC registration to use an AI appointment setter?

Yes, if you are texting US numbers from a standard 10-digit business line. Carriers require application-to-person traffic to be attached to a registered brand and campaign, and unregistered sends are rejected. FromKai handles brand and campaign registration for you as part of the one-time setup.

Do I need my own Twilio account?

No. Every FromKai plan includes one standard SMS line, and additional standard lines are $10 per month. SMS credits are purchased separately. You do not need to hold your own carrier account or wire up messaging infrastructure yourself.

How much does AI appointment setter software cost?

FromKai plans are $299 per month for Kai, $499 per month for Kai Pro, and $999 per month for Kai Max, plus a $499 one-time setup fee. Each plan includes one standard SMS line; extra lines are $10 per month. SMS credits are billed separately based on how much you send.
